I Have just encounted an unuasual problem with pivot tables and just can't seem to sort it out.

I have a list of valves and fittings, and the quantity (serval of the same type with in list). I am using the pivot table to quickly and easily find the total for each type of valve and fittings etc -seems easy enough.

The problem is when I do a sum Qty, I get 1 item less than I know I should have for only 1 item, the rest are fine. I have checked this by doing an auto filter on the items and summing the quantites from there.

Has anyone else encounted this sort of problem, where the pivot table doesn't oick up all items, and if so how does one fix this.

I assume that the pivot table groups the values to be summed based on a title? Have you checked that all the cell have exactly the same name? If there is a small difference (e.g. a "." at the end for some of them) they will be in another group.

The titles are Description and Qty.

I Have double checked that the entries in the cells in which the pivot table uses are correct, and there is no unwanted gaps or anything.

This seems weird.

Check if you have data in the header row, which may not be counted as data by the Pivot table. In general, check if the source data range of the Pivot table is big enough.

All my data is correct, headers included. The item missing from the pivot table is half way down the list.

This is why I say the problem is unusuall

Another thought: you are doing a sum of Qty, so if there is a text entry (instead of a value/number) in the Qty field, the pivot table will use 0 as teh value. So set the format to General, re-enter the value, see if there is a ' mark in front of the number, ...
