Hi all,

My company is entrusting me to come up with a project folder structure that will incorporate all phases of a project from research to conceptual to detail engineering to construction to post construction. Can anyone share with me some examples they may have of what folders and sub folders I may need?

Enquiry (Tenders Quotes etc.)
1 Tenders
2 Customer Enquiry
3 Customer Correspondence
4 Internal Correspondence
5 Supplier Correspondence
6 Technical Calculations
7 Drawings
8 Photos

Contracts Projects
1 Progress Chart
2 Costing
3 Invoices – Customer
4 Invoices – Suppliers
5 Transport (Incl. Despatch Notes)
6 Financial – Correspondence
7 Order Confirmation – Suppliers
8 Order Confirmation – Customer
9 Order – Customer
10 Enquiry / Tender
11 Customer – Correspondence
12 Internal - Correspondence
13 Suppliers – Correspondence
14 Technical Data / Certification
15 Drawings
16 Photos

In these computer days, a shortcut was placed from enquiry folder to contract folder and back. So, if you were in the Contract folder, you could jump to the Enquiry folder, and return

After order was accepted, the Enquiry folder was LOCKED! (i.e. view only, not amended without permission.....)

This was meant to be a mirror of the paper files, but as we developed, the hard copies were

Final tender
final costing
customer order
order acknowledgment
