If we have over 2000 document in pdm ,and each of them has over 5 revision , really it's very difficult to delete old revision of all document and too time consuming , maybe the first suggestion is using archive/restore functions in PDM . but how should I do that without any risk ?
I need to delete all pdm data of these document and not jus the main file which transfer by archive and restore command.

You can not delete old revisions of a document in PDMW. Only the whole doc. Only PDM Admin can delete a document.

What you want to do is have the vault admin archive all of the revisions that are not necessary and place them in a folder on the server.  These archives can be restored if necessary.  Otherwise you should create a company policy about archived data and specify conditions for deleting or saving of these archived docs.

Archiving of PDM revisions simply removes the superflous data from the vault.

Oh... one more thing.  

If you want to delete actual documents that are not wanted in the vault (pehaps put there by mistake or you simply dont want them in there.)  Then it simply depends on your permission as laid out by the vault admin.  It is the vualt admin that can allow or disallow users deleting of items.  If the admin disallows users from deleting docs, then he should create a vehicle for doing that.  In essence he needs to create a "trash" project and then the users can simply move the parts to be deleted to that project, then the admin can verify if it is ok to delete then strike it from the vault.

Once the Admin deletes the files in the vault they are put in a trash type folder similar to windows. The Admin for PDM cannot see these files, at least I cannot and I am an Admin. I must talk to our IT person and have him or her delete the files.

Yes thats true Bradlry  They are placed in a folder called _obsolete and they are still in the encrypted pdmworks format so they would be unreadable.  It is the vault admin's job to delete these files periodically.

If you do not have permissions to the vault and its subfolders you should talk to your IT person and have him/her give you rights to that folder.

Tell them that the folders will get very large if they do not allow you clean up.. that usually will persuade them!

    Thanks for the idea. As Admin I can now see the folder Obsolete. But not a folder _obsolete.

Oops sorry...

That was a typo in my head... the temp folder is the only one that has the _ in front, and that folder by the way is the one that tracks in-progress transactions.

BTW the most important thing of all...

Make sure that you lock the vault with Vault admin tool, or stop the PDMworks service on the vault server prior to working on thing inside the vault through windows explorer... also is a good idea to make a backup of the vault before you do this.  Safety first!

Lock the vault any time that you are making a backup, or working on the obsolete folders.  You do not have to lock the vault however for archiving as it uses the vault admin tool to do so.

Another good thing to do is to check, and clear the log files from time to time as they can get quite lengthy.  Lock the vault as well before doing this function.
