I am looking for where the format for the acceptable and proper specification language is summarized. I recall that there used to be a concise one page summary, perhaps in the NMS or Canadian federal government documents, setting out the format and language construction rules. For example, start sentences with an imperative, and do not use "shall be" or "will be" etc. Example: "Provide welded anchor straps", not "Anchor straps shall be welded".

I have misplaced that summary of the proper language to use...does anyone have such a summary?

Just do some googling. I just found such a document recently but do not remember the exact search terms I used. The document I found had a great comparison between the clear language used in a typical cook book, and the overly embellished languaged sometimes used in specifications. Maybe include "cook book" in your search.

LOL, but that version has grammar and spelling that's a bit too polished compared to other versions

Section 1 GENERAL, subsection C Definitions has the following:

C100 Verbal Forms
101 "Shall":Indicates requirements strictly to be followed in order to conform to this standard and from which no deviation is permitted.

102 "Should": Indicates that among several possibilities, one is recommended as particularly suitable, without mentioning or excluding others, or that a certain course of action is preferred but not necessarily required. Other possibilities may be applied subject to agreement.

103 "May": Verbal form used to indicate a course of action permissible within the limits of the standard.

Thanks all, but not quite what I was after. I will seaerch my library and also try some googling, but if anyone has seen what I am referring to, it would be great if you sent ilet me knowt. Any professional spec writers here, or members of the specificaation writers of Canada or simialr organizations? I think that I may perhaps have seen it on something that Public Works Canada sent out for a project.
