is there a way to save text in notes like in the solidedge callout facilty. so if I Create another drawing i can reuse the text?

Right click the note and select Make Block

Add the note to your design library.  It does not need to be changed to a block first to add it to the design library.

What is best pratice for multiple users?
Please note I last used SW in 2007 and have been using SE since.
I also need  pointers on how to set up the PDM vault properly!

I like the design library for multiple users  You can path to the design library in your system options.  Place the Notes in a folder on the network everyone can get to.  This is what we do where I work.
