Printing Multiple worksheets in Excel

Printing Multiple worksheets in Excel

(OP)
Hi guys quick question for you.

Most of the spreadsheets I work with a multiple sheets, I tend to print out all these sheets at once by selecting all the tabs and hitting print. The problem comes with making pdf files, where many of my spreadsheets will try to seperate out.

For example a 5 page workbook will try to make a pdf file for page 1, a file for pages 2-4 and a file for page 5. (I guess this may be happening unnoticed with hard copy prints too thinking about it). This also happens occasionally in word. Obviously I can then merge these 3 documents, but its an annoyance I could do without.

I assume there is some sort of section break in action here that is splitting these files up, but I can't for the life of me find it, does anybody have any suggestions please?

RE: Printing Multiple worksheets in Excel

It sounds to me like you have a problem with your PDF writer - not Excel.  If you want to eliminate extra pages use the "Edit:Go To..." menu item to open the "Go To" dialog box.  Click "Special" and select last cell.  It will give you a clue as to what else is in the worksheet.

Thanks for the reply, however this happens on my computer with CutePDF and my colleagues with both CutePDF and Adobe Acrobat 5.

Goto last cell also has not shown anything, each worksheet is printing off as one page, the problem I am having is the workbook isn't printing off as a single entity

RE: Printing Multiple worksheets in Excel

I have encountered this problem as well using programs other than CutePDF to generate the pdf files.  I suspect that Excel is creating another print file every time that the page setup changes.  For example, if one of the sheets is landscape and the rest are portrait, then the landscape page will show up in a separate pdf file.  This also happens to me when the page is printing out at less than 100 percent normal size.

I have just assembled the separate pdf files into one file using pdftk.

Panars is right. If you setup your printer to print a banner sheet, you'll get a banner sheet (= new print job) every time the page setup changes. What a nuisance!

FWIW
I use Neevia docuPrinter Pro v5.x to print to PDF format and have not experienced any problems with multiple files or banners when printing more than one tab at the same time.

RE: Printing Multiple worksheets in Excel

Some .PDF creation programs (e.g. CutePDF) split multiple Excel worksheets into more than one file.

This is due to the worksheets having different print qualities.

To make a single .PDF when printing multiple Excel worksheets, MAKE SURE ALL WORKSHEETS HAVE THE SAME PRINT QUALITY.

To do this, for EACH worksheet, go to File-> Page Setup-> Print Quality and set to the same figure.

RE: Printing Multiple worksheets in Excel

If you go File / Print and check "entire workbook" does it help?

Lindsay got the solution, thank you very much (the print entire wookbook thing didn't solve it)

RE: Printing Multiple worksheets in Excel

I print out the individual excel sheets. Then I take them to our copier which has an email function. I address the email to myself, load in the excel sheets in the automatic feeder and all gets emailed to me as one pdf file. I rename this file & store it or send it but all the excel sheets are on one file. Using the complete Adobe pdf program, it is also possible to delete & replace one or more sheets in the file.

RE: Printing Multiple worksheets in Excel

The problem with that is that you get big (image) PDF files. If you use CutePDF or PDFCreator, and pdftk to assemble multiple PDFs into one, you get much smaller files and a cleaner document. However, you don't get the exercise of walking to the printer/scanner.

Cheers,
Joerd
